Description

  • Manage accounts receivable: record transactions, prepare invoices, post payments, and follow up on outstanding balances.
  • Manage accounts payable: enter bills, schedule payments, and ensure vendor invoices are processed accurately and on time.
  • Perform reconciliations of bank accounts, credit cards, and other financial transactions.
  • Handle multiple payment types (batch deposits, wire transfers, ACH, cash, etc.) and ensure accurate entry into QuickBooks.
  • Prepare financial reports and summaries for leadership review.
  • Assist with monthly close tasks, journal entries, and expense reconciliation.
  • Organize digital and financial records, ensuring data accuracy and compliance.
  • Monitor emails and respond or escalate financial queries in a timely manner.
  • Support the leadership team with project-related administrative tasks, reporting, and documentation.
  • Liaise with office staff, clients, and field teams to ensure smooth communication and accurate information flow.

Hard Requirements:

  • 2+ years of hands-on experience in bookkeeping, accounting, or financial administration (experience in service-based or construction-related businesses preferred).
  • Proficiency in QuickBooks Online is required.
  • Strong knowledge of accounts receivable/payable workflows and reconciliation practices.
  • Experience handling client/vendor communication regarding billing and payments.
  • Proficiency in Google Workspace (Sheets, Docs, Gmail); comfortable with additional platforms like Service CEO, NetSuite, or similar.
  • Strong attention to detail, accuracy, and ability to meet deadlines under pressure.
  • Excellent written and verbal English communication skills.
  • Ability to work independently and proactively in a remote environment.

Schedule:

  • 40 hours per week
  • Monday to Friday
  • 9AM - 6PM US Eastern Standard Time Zone
