The technician will report to the Accounts Payable Manager. As a service provider for our vendors and the various departments within the company, the analyst processes audits, expense reports, credit card requests, and travel arrangements. They respond to associates who have questions about their travel bookings, communicate with suppliers, and analyze various transactions, requests, concerns, and issues related to the expense process.

Role

  • Manage emails.
  • Manage the corporate credit card program for Canadian associates.
  • Provide support to associates who travel.
  • Resolve any issues, escalating them when necessary, in a timely manner.
  • Ensure compliance with company policies and procedures and keep them up to date.
  • Responsible for the travel website page.
  • In case of a travel incident, guide associates through the insurance claim process for car rentals.
  • Report customer service issues via the designated travel agency's online booking tool.
  • Verify and process expense reports while ensuring their compliance.
  • Process credit notes, invoices, and other related information.
  • Ensure transactions are approved by authorized individuals.
  • Create and track various reports for follow-ups with associates (Works, Egencia, Oracle).
  • Oversee the alignment of travel contracts in collaboration with the procurement team.
  • Work with the Tax and HR departments.
  • Create and update vendor profiles.
  • Contact suppliers for information validation.
  • Update working documents.

Skills We’re Looking For

  • Strong understanding of basic accounts payable principles.
  • Bilingualism required.
  • Two (2) years of experience in accounts payable.
  • Experience in travel administration.
  • Experience managing expense reports.
  • Holder of a vocational diploma (D.E.P.) or college diploma (D.E.C.) in administration or finance.
  • Excellent knowledge of Microsoft Excel (VLOOKUP, pivot tables).
  • Thoroughness, team spirit, organizational skills, and autonomy.
  • Ability to work under pressure and meet tight deadlines.
  • Adaptability to transition and change.
  • High level of accuracy and attention to detail.
