Overview

BLS International is seeking a reliable and detail-oriented Operations Officer to join our team. This role plays a key part in supporting the smooth functioning of our visa and passport services. The ideal candidate will have strong administrative skills, a knack for process compliance and a customer-focused mindset. You will be responsible for managing application workflows, coordinating dispatches and ensuring accurate data handling across our operations.

Responsibilities

Operations Support

  • Provide day-to-day administrative support to ensure efficient center operations
  • Maintain strict adherence to standard operating procedures and process manuals
  • Coordinate with third-party logistics providers for timely dispatches
  • Scan, upload, label, and track visa/passport applications using MFA India’s system
  • Prepare and manage manifests for document movement between VAC and the Consulate
  • Communicate with applicants regarding documentation issues via email and letters
  • Support dispatch processes and other administrative tasks as assigned

Application Processing

  • Process walk-in visa/passport applications with accuracy and professionalism
  • Collaborate with accounting for daily cash handling and data entry
  • Oversee scanning and uploading of application documents
  • Ensure error-free data entry and record keeping
  • Scrutinize documents based on Consulate-issued checklists
  • Process applications on MoFA India’s digital platform
  • Offer and manage Value Added Services (VAS) as needed
  • Handle fee transactions and provide guidance to applicants
  • Organize dispatches with logistics partners

Experience & Skills

  • Prior experience in administrative, customer service, or visa/passport processing roles preferred
  • Familiarity with document management systems and digital platforms
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal abilities
  • Ability to multitask and meet deadlines in a structured environment
  • Comfort working in a compliance-driven setting
